1. Scope and Responsible Entity

This Privacy Policy explains how Sentinel Eleven LLC, doing business as Royal Water Distribution (“Royal Water Distribution,” “we,” “us,” or “our”), collects, uses, discloses, retains, and protects personal information in connection with royalwaterdistribution.com, its professional B2B portal, forms, business accounts, communications, and related commercial services (collectively, the “Services”).
 

Sentinel Eleven LLC is the entity responsible for the U.S. activities described in this Policy. WATER 808 is the product brand we distribute and is not the legal entity responsible for processing personal information.
 

This Policy does not replace the Website Terms of Use, B2B Terms and Conditions of Sale, Delivery Policy, Returns and Claims Policy, or Cookie Policy, each of which applies separately as appropriate.

2. Personal Information We Collect

The information we collect depends on your relationship with us and how you use the Services. It may include the following categories:

Business identity and contact information, such as name, title, company, business address, email address, telephone number, and authorized contacts.
 

Business-account information, such as login identifier, encrypted password or other authentication information, preferences, purchasing role, business type, and account status.

Business and tax-verification information, such as legal business name, billing and delivery addresses, tax identification number or other business identifier when necessary, resale or exemption certificates, licenses, references, and compliance documents.
 

Order and transaction information, such as products, quantities, pricing, quotations, confirmations, invoices, payment status, delivery details, shipping records, returns, credits, and claims. Full payment-card information is intended to be processed by a payment provider and not retained by Royal Water Distribution.
 

Communications and documents, such as inquiries, trade applications, emails, preferences, feedback, attachments, and customer-service records.
 

Quality, safety, and claims information, such as photographs, lot codes, storage conditions, delivery evidence, and, only when reasonably necessary to review an incident, information concerning an injury, illness, or safety concern.
 

Technical and usage information, such as IP address, browser and device type, operating system, approximate location, pages viewed, dates and times, referral source, security logs, and cookie or similar identifiers.
 

Information from third parties, such as the manufacturer, warehouses, carriers, payment providers, trade references, service partners, lawful public business sources, and persons making a legitimate referral.
 

Please do not submit a Social Security number, biometric information, detailed medical information, or other sensitive personal information unless we specifically request it and it is reasonably necessary for a legitimate business, legal, or safety purpose.

3. How We Use Personal Information

We may use personal information for the following purposes:

review trade-account applications and verify identity, authority, tax status, and business eligibility;

create, administer, and secure accounts and portal access;
 

prepare quotations, communicate pricing, verify availability, and administer orders;

process payments, invoices, taxes, credits, and accounting records;
 

arrange warehousing, order preparation, transportation, logistics formalities, and delivery;

maintain product traceability, lot control, food-safety readiness, and withdrawal or recall preparedness;
 

respond to inquiries, provide support, and investigate returns, damage, shortages, quality concerns, and claims;
 

send transactional, operational, security, safety, or recall communications and, where required by law, marketing communications with the appropriate consent;

4. How We Disclose Personal Information

We may disclose personal information only as reasonably necessary for the purposes described in this Policy, including to the following categories of recipients:
 

website-hosting, platform, cybersecurity, e-commerce, account-management, CRM, communications, and technical-support providers;
 

payment providers, banks, accountants, auditors, and fraud-prevention services;
 

the manufacturer, warehouses, carriers, freight forwarders, brokers, customs providers, and other partners needed for fulfillment, delivery, traceability, or claim investigation;
 

laboratories, insurers, consultants, attorneys, and other professional advisers;
 

government authorities, courts, law enforcement, or regulators when disclosure is legally required or reasonably necessary to protect rights, safety, or products;
 

parties to a contemplated or completed financing, reorganization, merger, acquisition, asset sale, or business transfer, subject to appropriate safeguards; and
 

other recipients at your direction or with your consent.
 

Our service providers are authorized to process information only for contracted services or other legally permitted purposes that apply to them.

5. Sale, Sharing, and Targeted Advertising

We do not sell personal information for monetary consideration. Under the Site configuration currently intended, we do not knowingly share personal information for cross-context behavioral advertising or targeted advertising as those terms are defined by applicable state privacy laws.
 

If this practice changes, we will update this Policy and the Cookie Policy before activation and provide any legally required consent or opt-out mechanism, including recognition of applicable preference signals where required by law.

6. Cookies and Similar Technologies

We use cookies and similar technologies that are necessary for security, fraud detection, network operation, forms, authentication, account sessions, cart functions, consent preferences, and essential Site operation.
 

Any optional functional, analytics, or marketing technology must be described in the Cookie Policy and will be subject to applicable consent, choice, or opt-out requirements. You may also limit cookies through your browser settings, although some features may not function properly.
 

The Cookie Policy provides the current inventory of technologies used on the Site, including their providers, purposes, categories, and retention periods.

7. Retention and Deletion

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and to satisfy contractual, accounting, tax, customs, food-traceability, security, insurance, audit, and dispute-resolution obligations.
 

Retention varies by record type, business relationship, data sensitivity, risk, limitation periods, and legal requirements. Order, invoice, tax, payment, lot, safety, and claims records may be retained for the legally required period and while an audit, claim, or dispute remains reasonably possible.
 

Unsuccessful applications and routine inquiries are deleted or de-identified when no longer reasonably necessary. When immediate deletion from a backup is not technically feasible, the information is isolated from active use until deletion under the normal backup cycle.

8. Information Security

We use reasonable administrative, technical, and physical safeguards appropriate to the nature of the information and the risks to protect it against loss, misuse, unauthorized access, disclosure, alteration, or destruction.
 

No system or transmission method is completely secure. Users must protect their credentials, use appropriate passwords, and promptly report any actual or suspected compromise. Tax certificates, banking information, and other sensitive documents should be sent through the secure portal or another approved method when available, rather than unencrypted ordinary email.

9. Your Choices and Privacy Rights

Depending on your state of residence and applicable law, you may have the right to request access, confirmation, correction, deletion, or a portable copy of certain personal information and to object to or opt out of certain uses, sales, sharing, targeted advertising, or profiling that produces significant legal effects.
 

You may unsubscribe from marketing communications through the link in the message or by contacting us. Transactional, security, account, delivery, quality, safety, or recall communications may continue when necessary.
 

To submit a request, email usa@water808.com and provide your name, company, state of residence, and the nature of your request. We may verify your identity, your relationship to the relevant business, and an authorized agent’s authority. We will respond within the period required by applicable law. Certain information may be retained where permitted or required by law. We will not unlawfully discriminate against anyone for exercising an applicable privacy right.
 

If applicable law provides a right to appeal our denial of a request, our response instructions will explain how to submit an appeal.

10. U.S. State Privacy Notices

Certain U.S. state privacy laws grant specific rights only when statutory coverage thresholds and other requirements are met. When such a law applies to Royal Water Distribution and to your request, we will honor the corresponding rights, deadlines, exceptions, and procedures and provide any required supplemental notice.

11. International Processing

The Services are operated for Royal Water Distribution’s U.S. commercial activities. Information may be processed in the United States and in other countries where the manufacturer or our service providers operate, including when necessary for order fulfillment, logistics, traceability, quality, or claim investigation.
 

The laws of those countries may differ from those in your place of residence. Where required by law, we use appropriate safeguards for international transfers.

12. Children

The Site and portal are intended for business users and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child submitted information to us, please contact us so we can investigate and delete it where appropriate.

13. Third-Party Links and Services

The Site may link to independent websites, platforms, or services. Their privacy practices are governed by their own policies and not this Policy. Please review those policies before providing information to them.

14. Changes to This Policy

We may update this Policy to reflect changes in our practices, technology, or legal requirements. We will post the revised version with a new effective date. Where required by law or appropriate for a material change, we will provide additional notice.
